The Best Job Aid Is the One People Can Find
A beautiful job aid is useless when workers cannot locate it, trust it, or use it quickly inside the real workflow.
Teams celebrate when the checklist, guide, or decision tree is finished. Then it disappears into a shared drive with an ugly filename and three older versions beside it. The design problem was never only the page. It was whether the right person could reach the right answer at the right moment.
01Name the problem
Teams celebrate when the checklist, guide, or decision tree is finished. Then it disappears into a shared drive with an ugly filename and three older versions beside it. The design problem was never only the page. It was whether the right person could reach the right answer at the right moment.
02Look at the real work
People under pressure do not search like content librarians. They use the words they remember, scan quickly, and abandon resources that make them work too hard. Use task language in titles, include common search terms, link from the workflow, and test the resource with someone who did not help create it.
Performance support succeeds through availability, clarity, trust, and maintenance, not polish alone.
03Choose the right response
Workers learn which resources are dependable. One stale instruction can teach them to ignore an entire library. Show the last update, responsible owner, and source of truth. Retire duplicates and give people a simple way to flag something that looks wrong.
04Protect the learner
A job aid used during real work should reveal the decision, critical steps, risks, and exception path without forcing a long read. Put the common path first. Make warnings specific. Separate what must be remembered from what can be referenced. It should feel like a tool, not a tiny textbook.
05Make the decision visible
Every support asset creates an obligation. Policies change, screens move, owners leave, and links break. Decide who reviews it, what triggers an update, and how old versions disappear before publishing. The best job aid is the one people can find, trust, use, and still rely on later.
